How to Add a ROUVY Event to Your Calendar

Stay organized and never miss a ROUVY event by adding it directly to your calendar!

Please note that we currently send calendar invitations only for official ROUVY events. Notifications are not available for private events.


Before the big ROUVY event, we send you an email reminder with a calendar invitation (a .ics file format), which can be easily imported into your preferred calendar app.

In this article, we’ll walk you through the steps to add an event to your calendar.

The .ics file can be opened in several ways depending on your device and the email client you use.
Check out the most common ways below: general desktop method, opening the invitation in Gmail and Outlook, opening on iPhone/ iPad, and on the Android phone.

 

General Desktop Method (Windows/iOS)

Most desktop operating systems (Windows, iOS) will automatically open the .ics with your default calendar app (e.g., Outlook on Windows, Apple Calendar on Mac).
So the only steps you need to take are:

  • Open the email with the invitation;
  • Click on the yellow button to get the invite, this should download the .ics file to your device.
  • Navigate to the downloaded .ics file and click on it.
    Note: in most browsers, you can see the download symbol in the top bar; the file can be located in the Downloads folder.
  • After clicking on the file, follow the prompts to add the event to your calendar.

Gmail: Manual File Upload

If you use Gmail and you've received a ROUVY event reminder with a .ics file but it does not add the event to your calendar automatically, you can download the .ics file and add it to your Google calendar manually as described below.

To add the .ics file to your Gmail Calendar

  • Open the email containing the invitation;
  • Click on the yellow button, 
  • Locate the downloaded .ics file.
    Note: in most browsers, you can see the download symbol in the top bar; the file can be located in the Downloads folder.
  • Go to your Google Calendar.
  • Click on the gear icon (⚙️) in the top right and select Settings.

  • From the menu on the left, choose Import & Export.
  • Under “Import,” click Select file from your computer.

  • Find and select the .ics file you downloaded.
  • Choose the calendar you want to import the event into, then click Import.
  • The calendar will confirm your event was imported.

  • After that, you can open your calendar, and you should see your event.

 

Outlook: Manual File Upload

If you use Outlook and you've received a ROUVY event reminder with a .ics file but it does not add the event to your calendar automatically, you can download the .ics file and add it to your calendar manually as described below.

To add the .ics file to your Outlook Calendar

  • Open the email containing the invitation,
  • Click on the yellow button
  • Locate the downloaded .ics file.
    Note: in most browsers, you can see the download symbol in the top bar; the file can be located in the Downloads folder.
  • Open Outlook Calendar.
  • To add the event, you can either:
    • Drag the downloaded .ics file directly into the Outlook Calendar window, or
    • Use Calendar > Add Calendar > Import/Export, then follow the prompts to import the file.

iPad/ iPhone

To add a .ics file to your calendar on an iPad or iPhone, follow these steps:

  • Open the email containing the invitation.
  • Tap on the yellow button to get the file,
  • Tap on the .ics file attachment to open it.
  • A preview of the event details will appear. Tap Add to Calendar.
  • Select the calendar you want to add the event to (e.g., your default calendar or another specific one).
  • Tap Add to confirm.

The event will now be saved to your iOS Calendar app, and any reminders or notifications set for it will be available.

Android Phone

To add an .ics file to your calendar on an Android, follow these steps:

  • Open the email containing the invitation.
  • Tap on the yellow button to get the file.
  • Confirm downloading the file, you can also check what folder you download the file to.
  • After the .ics file download, you are prompted to open the file in your preferred calendar,
  • Choose the correct calendar and confirm.

The event will now appear in your calendar, with reminders and notifications based on your calendar settings.
